Two WordPress maintenance quotes can have the same monthly total and cover very different work. Compare the responsibilities, checks and support arrangements before deciding which proposal fits your website.
This guide is for business owners reviewing a care proposal. It does not set a universal maintenance price. Your website’s condition, dependencies and agreed support scope need to be understood first. Start with our WordPress maintenance and care plan guide for the wider service.
Separate the starting work from continuing care
Ask whether the quote assumes a healthy website or includes a review of its current condition. Outdated software, unknown administrator accounts, broken enquiries and an existing compromise can require work before a reliable care routine begins.
The proposal should identify any initial assessment, cleanup or repair separately from the continuing service. If the starting condition is unknown, ask how findings will be reported and how you approve additional work. A quote should not silently turn an undefined problem into an unlimited commitment.
Our guide to maintenance plans versus one-off support helps separate those needs.
Make the recurring tasks specific
“Updates and backups included” is a starting label. Ask the supplier to define what it means for your site:
- Which WordPress core, theme and plugin updates are handled, and how often are they reviewed?
- What is checked before and after a change, and when is a staging copy appropriate?
- Do backups cover files and the database, where are copies stored, and how is recovery checked?
- Which important pages, forms or booking functions are tested?
- What is recorded in the maintenance log and report?
WordPress recommends backing up before an upgrade in its updating guidance. A quote should explain the supplier’s actual change and recovery process for your website.
Distinguish monitoring, response and resolution
Monitoring means a system or person checks something. Response means someone acknowledges or starts assessing an issue under the agreed terms. Resolution means the underlying issue has been addressed. Those are different stages.
Ask for the support hours, contact route, severity definitions and response arrangements. Check whether weekend work, third-party outages and emergency repairs are included or quoted separately. A provider can monitor around the clock while offering human support during specified hours.
An honest proposal also explains dependencies. A supplier may need your approval, a hosting change or a response from a plugin vendor before a fix can be completed. A response promise alone does not describe the entire repair.
Check the services that can be easy to overlook
Hosting, domain renewal, premium plugins, email delivery and content edits may be billed separately. Establish who pays each supplier, whose name the account is in and what happens to a licence when the maintenance arrangement ends.
For example, a quote that excludes hosting may still be suitable if your existing host meets the site’s needs. A quote that includes hosting needs to explain the migration, renewal and exit arrangements. Compare the actual responsibilities rather than assuming the larger bundle is better.
SEO safety checks also need a boundary. Checking for an accidental noindex setting is different from ongoing keyword research, content production or an SEO campaign. Ask the provider to describe exactly which search tasks are included.
Use the same questions for every proposal
Copy this short list into your comparison notes:
- What starting condition does this quote assume, and what initial work is charged separately?
- Who owns updates, backups, restore checks and critical-function testing?
- What human support is available, through which channel and during which hours?
- Which repairs, edits, licences and hosting charges are outside the recurring fee?
- What evidence of completed work will we receive?
- How can we end the arrangement and receive the information needed for handover?
Record an answer beside each question. An unanswered responsibility is a useful follow-up question before signing, even when the headline price looks attractive. Our maintenance checklist gives more detail on routine checks.
What should affect your own quote?
Explain how the website is used. A simple service site, a shop and a site with booking or member access can require different checks. State any custom code, important integrations, content-change needs and approved support arrangements.
Share your website URL and current concerns first. Do not put passwords, payment details or customer records into a general enquiry. If you are replacing an existing supplier, review the WordPress maintenance handover checklist before agreeing the start date.
Ask for a scope you can compare
Use the free website health check to start the discussion. Tell us what the site does and what worries you. We can discuss the priorities before preparing an agreed care or repair scope.
