Switching Your Event Venue Website: Plan the Launch

Plan the switch to your venue’s redesigned website. Agree final content, old-link checks, enquiry testing, recovery arrangements and a useful handover.

Typographic article cover reading “A Venue Website Switch. Coordinate the launch with care”.

The replacement website looks good in review. Your next decision is how it becomes the public site while the venue continues handling real enquiries. A considered switch turns a design approval into a practical release. Our Tagaytay event venue redesign service plans this stage alongside the build.

Agree what must be true before launch, who can approve the switch and what will be checked immediately afterward. This gives the venue a clear role without expecting the events team to manage the technical move.

Identify what is actually changing

Ask the developer to explain whether the work changes the design, hosting, content platform, page addresses or domain. These are different changes and need a plan suited to the project.

Google publishes separate guidance for hosting moves that retain URLs and moves that change URLs. Do not assume a new visual design requires every address to change or that a hosting move is complete when a preview opens.

If the owner is still deciding whether replacement is necessary, use our repair or redesign decision guide first.

Set a final content approval point

Choose when the venue will approve the content intended for release. Confirm the current descriptions, photographs, brochures and contact information. Make unresolved items visible rather than assuming someone will supply them before launch.

The existing website may still need changes during development. Decide where those changes are recorded and who carries them into the replacement. Otherwise, an approved correction on the old site may disappear when an earlier copy becomes public.

Name the owner of that final comparison. They need a manageable list of changed business information, not a request to remember everything the team has edited recently.

Illustrative planning framework. The agreed scope and the venue’s actual requirements determine the work.

Use the approved inventory to check important existing addresses against the prepared release. Include links sent in enquiry replies, downloads shared with planners and pages referenced by supplier listings.

A useful release record states the old address, expected result and observed result. Retained pages should show the right content. Changed addresses should reach the agreed destination. Any deliberate retirement should be documented.

Our guide to pages worth keeping helps create that inventory. The broader website redesign SEO checklist provides context for the search-related checks.

Verify the enquiry route with permission

Confirm the published contact details and test the relevant page interactions on agreed phone and desktop layouts. A form displaying a success message does not establish that the intended inbox received the enquiry.

Agree who may authorise a clearly labelled test, which destination will receive it and who will confirm receipt. For appointment or payment tools, define a suitable test process before anyone creates a real booking or charge. Record what was tested and what still depends on another provider.

Keep this verification focused on the launch. A broader change to the venue’s sales process belongs in a separately agreed scope.

Choose a practical switch window and recovery plan

Use the venue’s actual calendar when selecting the window. Confirm who is available to approve the release, perform the checks and respond if a significant issue appears. Establish the team’s alternative contact route during any interruption.

Ask how the current website will be preserved and how a recovery decision would be made. A backup’s existence is useful, but its condition and suitability still need assessment. Clarify who can authorise a recovery and how new enquiries or edits would be accounted for.

The owner should understand the plan without receiving instructions to change technical settings personally.

Check the public release and complete the handover

After switching, review the actual public site rather than relying on the preview. Check the agreed pages, old links, downloads and enquiry route. Record the release date and any limitations. Search indexing and rankings are separate observations that may change after launch.

The handover should explain editing access, routine care and ownership of follow-up items. Our event venue website maintenance service covers that continuing work.
